Connect Microsoft Outlook Calendar to enable AI-powered appointment booking during calls.
Outlook Calendar Setup
Connect your Microsoft Outlook Calendar so your AI agents can check availability and book appointments during phone calls.
Prerequisites
- A Microsoft account (personal, work, or school) with Outlook Calendar
- Access to the ScaleTalk Calendar page (personal context only)
Personal Context Only
Calendar connections are made in your personal context. Switch to personal context (not a User Group) before connecting your calendar.
Connecting Outlook Calendar
- Navigate to Calendar in the sidebar
- Click Connect Outlook Calendar in the top-right area
- A Microsoft sign-in window opens
- Sign in with your Microsoft account
- Review the permissions ScaleTalk requests
- Click Accept to grant calendar access
- You are redirected back to ScaleTalk with a success confirmation
Permissions Requested
ScaleTalk requests the following Microsoft Graph permissions:

| User.Read | Read your basic profile for calendar identification |
Work/School Accounts
If your organization uses Microsoft 365, your IT administrator may need to approve the ScaleTalk application before you can connect. Contact your IT team if you see an "Admin approval required" message during connection.
After Connecting
Once connected, your calendar page shows:
- Upcoming appointments from your Outlook Calendar in the "Today" section
- Monthly calendar view with your appointments displayed
- A Disconnect Outlook button replaces the connection button
Appointments from Outlook appear alongside any Google Calendar appointments if both are connected.
Using Outlook Calendar with Agents
After connecting, you still need to activate the calendar in the Agent Configurator. There you create a calendar assignment with an appointment condition, working hours, and buffer time.

Disconnecting
To disconnect the Outlook Calendar connection:
- Navigate to Calendar in the sidebar
- Click Disconnect Outlook (red text button)
- Your calendar connection is removed immediately
Active Agents
If agents use the calendar tools with your Outlook Calendar, disconnecting will disable their appointment scheduling capability. Update those agents before disconnecting.
Troubleshooting
Admin Approval Required
For Microsoft 365 work/school accounts, an administrator may need to approve the application:
- Ask your IT administrator to approve ScaleTalk in the Azure AD admin portal
- Alternatively, your administrator can grant tenant-wide consent for the required permissions
- Once approved, try connecting again
Connection Fails
- Ensure pop-ups are not blocked (the Microsoft sign-in opens in a new window)
- If using a work account, verify your organization allows third-party calendar integrations
- Try using an InPrivate/Incognito window to rule out cached session issues
Token Expired
Microsoft OAuth tokens can expire after extended periods. If calendar sync stops working:
- Disconnect the calendar
- Reconnect by clicking Connect Outlook Calendar again
- Re-authorize the permissions
