User Groups

Organize your team with user groups to share calendars and AI agents collaboratively.

User Groups

With User Groups you can organize team members and share resources such as calendars and AI agents — without having to share login credentials. This is especially useful when you want to give an external agency or an employee access to specific agents while remaining GDPR-compliant.

User Groups overview

The overview shows all groups you own or belong to, with Name, Description, Role, Members, Created, and Actions.

Creating a Group

  1. Click + Create Group in the top right
  2. Enter a group name (e.g., "Customer Support Team")
  3. Optional: Add a description
  4. Click Create Group

You will be redirected to the group detail page.

Adding Members

On the group detail page, you see three sections: Members, Calendars, and Assistants.

To add a member:

  1. Click View All Members or directly on the members card
  2. Click Add Member
  3. Enter the person's email address
  4. Confirm the GDPR consent
  5. Click Add Member — the person is automatically added to the group

ScaleTalk Account Required

You can only add people who already have a ScaleTalk account. The email address must match an existing account.

Sharing Resources

From the group detail page, you can share calendars and assistants with the group:

  • Share Calendar: Click + Share Calendar, select one of your connected calendars, and set the access level (Read-only or Full Access).
  • Share Assistant: Click + Share Assistant, select one of your agents, and configure the permissions (Edit, Delete, View Metrics).

For each sharing action, GDPR consent is requested and recorded.

Switching Workspaces

Members who have been added to a group can switch to the group's workspace via Settings in the top right under Switch Workspace. There they have access to the shared agents and calendars and can configure them — depending on the assigned permissions.

Roles

RoleDescription
OwnerCreated the group. Can add/remove members, share resources, and delete the group.
MemberWas added to the group. Can access shared resources but cannot manage members.

Deleting or Leaving a Group

  • Owner: Can delete the group via the three-dot menu. This removes all member associations and shares.
  • Member: Can leave the group via the three-dot menu and thereby loses access to all shared resources.
